When the Intake Form is submitted, the system should:
Information from the Intake should populate or update the appropriate CRM fields whenever technically practical.
The complete original Intake submission should also remain accessible from the prospect’s CRM record.
Existing verified information should not be silently overwritten when the new submission conflicts with the CRM.
Conflicting information should be flagged for Strategist verification.
Upon successful submission, automatically record:
Intake Status: Completed
Intake Completion Date: __________________
Next Status: Strategist Intake Review Required
The assigned Strategist should receive or see a corresponding next action:
Review Intake & Prepare for Visibility Audit
Required unanswered fields should prevent submission where appropriate.
Important non-required information that is missing should be visible to the Strategist during Intake Review.
The system should distinguish between:
Required Information Missing
and
Optional Information Not Provided
Responses in the Business Systems & Growth Readiness and CRM & Business Technology sections should be capable of creating internal opportunity flags.
Potential areas include:
The CRM should display the specific area or areas identified, not simply a generic “T2 Lead” designation.
A T2 opportunity flag does not automatically constitute a referral or recommendation.
The Strategist reviews the information first and determines whether a T2 discussion or introduction is appropriate.
The Intake submission should remain associated with the Strategist already assigned to the prospect through the CRM Prospect Verification process.
Submission of an Intake Form should not change Strategist ownership automatically.
Any reassignment should follow the appropriate internal authorization process.
After the Strategist verifies the Intake, the CRM should allow the prospect to advance to:
READY FOR VISIBILITY AUDIT
The CRM should record:
Verified Intake information should be available for subsequent stages of the process, including:
The client should not be repeatedly asked to provide information already collected and verified.
The following should be maintained internally and should not appear as questions on the Client Intake Form:
The Intake Form gathers information.
The Visibility Audit independently measures public visibility.
The Strategist interprets the information and manages the relationship.
The CRM maintains the permanent record.
Automation should eliminate unnecessary data entry while preserving human verification and judgment.
The Intake should never be used to influence or alter the objectivity of the Visibility Audit.
Collect once. Verify once. Carry forward.
