LKNConnect Operating System

PURPOSE

The Automated Client Intake Form is completed online by the prospective client following the Discovery Meeting.

Its purpose is to gather and verify the factual information needed to prepare for the LKNConnect Visibility Audit and to identify business goals, current marketing activities, and potential systems or operational needs.

Information collected through this form should automatically populate or update the appropriate CRM fields whenever technically practical.

Information should be entered once, verified and carried forward throughout the client relationship.

INTERNAL T2 AUTOMATION SPECIFICATION

The following requirements are not part of the client-facing form.

A. CRM RECORD MATCHING

When the Intake Form is submitted, the system should:

  1. Search for an existing business record.
  2. Search for the primary contact using available identifying information.
  3. Check for potential duplicate business and contact records.
  4. Associate the Intake with the correct existing CRM record whenever possible.
  5. Flag uncertain matches for human review rather than automatically creating a duplicate.

B. CRM FIELD POPULATION

Information from the Intake should populate or update the appropriate CRM fields whenever technically practical.

The complete original Intake submission should also remain accessible from the prospect’s CRM record.

Existing verified information should not be silently overwritten when the new submission conflicts with the CRM.

Conflicting information should be flagged for Strategist verification.


C. INTAKE STATUS

Upon successful submission, automatically record:

The assigned Strategist should receive or see a corresponding next action:

D. MISSING INFORMATION

Required unanswered fields should prevent submission where appropriate.

Important non-required information that is missing should be visible to the Strategist during Intake Review.

The system should distinguish between:

E. POTENTIAL T2 OPPORTUNITY FLAGS

Responses in the Business Systems & Growth Readiness and CRM & Business Technology sections should be capable of creating internal opportunity flags.

F. STRATEGIST OWNERSHIP

The Intake submission should remain associated with the Strategist already assigned to the prospect through the CRM Prospect Verification process.

Submission of an Intake Form should not change Strategist ownership automatically.

Any reassignment should follow the appropriate internal authorization process.


G. VISIBILITY AUDIT READINESS

After the Strategist verifies the Intake, the CRM should allow the prospect to advance to:

The Visibility Audit independently measures public visibility.

The Strategist interprets the information and manages the relationship.

The CRM maintains the permanent record.

Automation should eliminate unnecessary data entry while preserving human verification and judgment.

The Intake should never be used to influence or alter the objectivity of the Visibility Audit.
